Who is available and when: capacity planning and public holidays
A task due Thursday. The assignee has been on vacation since Wednesday. You find out on Friday morning, when the deadline has already passed — and nobody is at fault, because that information had nowhere to appear.
It is one of the most common ways small companies lose time, and it does not come from carelessness. It comes from tasks living in one tool and absences in another — a spreadsheet, an e-mail thread, or somebody's memory.
Why ordinary task tools cannot warn you
Asana, Monday.com and ClickUp have no absence module. Not out of oversight — HR is simply a different category of software. As long as leave lives outside the task tool, the tool cannot warn you when you assign work, because it does not know about the leave at all.
CTM keeps both in one product, so the information is available exactly when it is useful: at the moment you create the task.
A warning at the moment of assignment
As soon as a task has a due date and an assignee, CTM checks that person's absences for the period and shows the warning in the form itself — before saving. It distinguishes two states:
- Approved absence — a hard signal; that person is not working in that period
- Request awaiting approval — a softer note, because it may still be rejected
The same check runs when scheduling a meeting. It is not a block — you can still save the task or the meeting. The point is to decide with the information rather than without it.
Home office does not block work. Deliberately
Someone on home office is working, just not from the office. Treating that as a conflict would mean the system nags you about something perfectly fine. So home office appears as information, not as an obstacle.
Vacation, sick leave, family care and short leave do block work. Those are the states where a warning earns its place.
How many people from a department can be away at once
The other half of the problem is not the individual but the team. Three people out of ten away at the same time may be fine; three out of five almost certainly is not.
A leave request therefore shows how many people from the same department are away in that period and what share of the team that is. You set the threshold yourself, and above it the figure is highlighted — so an approver notices before clicking approve, not after.
Public holidays that do not count as working days
Leave from 30 April to 2 May is not three days of vacation. The first of May is a public holiday and has no business reducing anyone's entitlement.
CTM has the public holidays of Slovakia, the Czech Republic and Germany built in and applies them by the country set for the company. They are marked in the calendar and excluded from working days — including movable ones such as Good Friday and Easter Monday.
Leave statistics can be read in calendar days or in working days, whichever your internal policy uses.
A yearly overview including the people who take nothing
Managers and administrators get a yearly leave usage overview for the whole team. One detail matters more than it sounds: it includes people who have taken no leave at all.
Those are the interesting ones. Unused leave at the end of the year is a problem for the company and for the person, and noticing it in September is far cheaper than noticing it in December.
What you need for it
Capacity planning is part of the vacation module, available from the Starter plan at 19 EUR per month for the whole organization — not per user. There is exactly one thing to configure: the company's country, which determines the public holidays.
